This policy explains how IT Hero handles personal information from visitors to ithero.com.au and people making business enquiries about our IT field services, deployments and maintenance. It does not describe employee records or access to client systems during service delivery.
Information you provide
When you submit a website form, we receive the details you enter. These can include your name, organisation, business email, telephone number, company website, requested service, number of sites and project message. Our national delivery form requires contact details, a service selection and site count; additional project scope is optional. Our general contact form requires your name and email.
We use this information to respond to your enquiry, understand your requirements and discuss a suitable service or proposal. Please provide only what is needed. Do not submit passwords, payment-card details, identity documents, confidential client names or sensitive site information through our public forms.
You can browse without submitting a form. You can also call us to discuss what information is needed. Without sufficient contact or project details, we may be unable to respond or prepare a proposal.
How enquiries are handled
Our website uses WordPress and Contact Form 7. FluentSMTP delivers website email through Microsoft 365 to our business email system. IT Hero personnel access enquiries in Australia. Website administrators can access email-delivery logs to check delivery and resolve problems.
VentraIP provides website hosting. Hosting and email providers process information needed to operate these services. An enquiry is not, by itself, consent to unrelated marketing. Contact us if you do not want further follow-up about your enquiry.
Provider locations
VentraIP states that its infrastructure is in Melbourne and Sydney, while some third-party providers can be outside Australia. Microsoft operates internationally and describes processing in the United States and other countries in its privacy statement. Australia-only access by our personnel does not mean all provider processing occurs in Australia.

Website functions and cookies
Our website uses secure HTTPS connections. Website administration requires a login. Cookies support WordPress login and administrative preferences; these are separate from submitting an enquiry. Website hosting and technical services can process connection information, such as an IP address and access time, to serve requests and operate the site.
Some pages display third-party content, including Google reviews. Third-party content and external links can involve the provider’s own information handling. You can control cookies through your browser; blocking them can affect some website functions.
Email logs and other records
FluentSMTP is configured to automatically delete website email-delivery logs after 14 days. These logs can contain recipient details and message contents and are used to review delivery.
This 14-day period does not automatically delete enquiries already delivered to our Microsoft 365 inbox, project correspondence, hosting records or backups. Those records are handled separately. Contact us to ask about information we hold or to request its deletion; applicable legal and business record requirements can affect what can be deleted.
No internet transmission or storage system is risk-free. Please use the contact details below rather than a public form to discuss a secure way to provide sensitive material.
Access, correction and privacy concerns
Contact Rajeev at the details below to request access to your personal information, ask for a correction or raise a privacy concern. Explain the information or event concerned and how we can contact you. We may need to verify your identity without collecting unnecessary information.
We will review your request or concern and respond using your contact details. If we cannot provide the requested access, correction or deletion, we will explain the reason and any available next steps, subject to applicable requirements.
If a privacy concern is not resolved, you can obtain complaint information from the Australian Office of the Information Commissioner or, where relevant, the New Zealand Privacy Commissioner. The applicable process depends on the circumstances.
